Role: The inventory agent inventories the deposits of available materials and products. He uses circular passports to inventory the available used resources in terms of composition, quality, quantity and availability.

Chat is a tool that allows users of an Upcyclea-Net 0 account to discuss with its stakeholders. Each role can interact with different actors:

Deposit
When you create a deposit, you must define its location, this is called the site .
To do this, you have two options:
- You can choose a site from the list of sites created by other agents and your resource owner. Simply select the name of the site where the deposit is located (a small drop-down list appears when you click in the site name field) and the address will auto-complete.
You will then have all the site tags available, you can check as many as you want.
- If the site where the deposit is located has not yet been created, you can do so by typing the site name and its address.
Once you have chosen a site, you can associate tags with it. You can add as many tags as you want to the site (maximum 60 characters per tag).
The "save" or "save as draft" button allows the user to save their work without going directly to the publishing step. This keeps the current state of their form and can return to it to complete it later, without other users having access to the incomplete data.
The "publish" button, on the other hand, allows you to make your information visible to other users, and therefore triggers the validation process. The information will continue to be editable (although there are certain rules to limit changes if the data is already in use elsewhere on the platform).
A tag is an element associated with a site that allows you to organize deposits by lot, by layers of a building or other ( e.g. you only want to know the circular signature of your Technical Equipment lot for example which is on your Building A site ). This will also allow you to generate circular signatures by tag and not just by site.
A tag belongs to only one site, it is possible to have two tags with the same name in two different sites, but not in the same site.
In the list of deposits, from the Agent role, it is now possible to filter and search for deposits by tag.
The deposits created by the agent are first redirected to their resource owner, so that the latter can validate them (or request modifications).
The agent receives a notification when their deposit is validated, rejected, or the resource owner has requested a modification.
Once the deposit is validated, it is redirected to the supervisor, who must ensure the consistency of the circular passport used, the use of the nomenclature, etc. He can then publish the deposit (or request a modification). Once the deposit is published, it becomes visible to all authorized users (Supervisors and Ecosystem Managers of Upcyclea-Net 0 concerned).
The validation and publication process aims to ensure the accuracy and consistency of the information entered into the platform. It is essential to prevent inaccurate or illegible data from disrupting the creation of circular ecosystems.
When you enter the name of your deposit on the platform, you must follow the following formalities:
– For a catalogued, standardized product deposit, Upcyclea recommends:
Product name (generic name + manufacturer name) – Site name (location name (e.g. building name) + City + location details (e.g. floor))
For example, for a cataloged product deposit, we will have:
Wooden tables – Ikea – X Shopping Center – Rennes
– For a non-catalogued product deposit (“Other product”), Upcyclea recommends:
Product name (generic name + typology) – Site name (location name (e.g. building name) + City + location details (e.g. floor))
For example, for a deposit of “Other product”, we will have:
Used nylon carpet – Y Headquarters – Paris
A single user can hold multiple roles. For example, a user can be both an Agent and a Resource Owner. In this case, the verification/validation step performed by the Resource Owner is automatic; no action is required.
The publishing process is also automatic if the user combines the roles of Agent, Resource Owner and Supervisor.
Once a deposit is published, it becomes visible to all authorized users: your Resource Owner, all Supervisors of your Upcyclea-Net 0 and all the Ecosystem Managers of your Net 0/Eco-design .
Additional information about a deposit (availability date, quantities, status, etc.) can be modified at any time by clicking on the icon: .
However, once the deposit is published, it is no longer possible to slightly modify the circular passport or the site. It is nevertheless possible to replace the circular passport and the site at any time.
Depending on the level of processing of the deposits, these can take different statuses in Upcyclea-Net 0 .
These statuses are visible to the Agent on the deposit banners, and allow sorting of deposits via the filters provided.
- Draft: The deposit is not complete; the Agent has chosen to save it for later completion. It is only visible to the Agent and can be modified at any time.
- Pending validation: the deposit is submitted to the Resource Owner for validation or not.
- Pending publication: the deposit has been validated by the Resource Owner, and must now be published by the Supervisor so that it can subsequently be integrated into ecosystems.
- Request for modification: The Resource Owner or Supervisor wants the Agent to modify certain information in the deposit. The request is available in the chat. Once the request is made, the deposit must be published by the supervisor.
- Published: The deposit has been accepted and published by the Supervisor. It is therefore visible to all authorized users (Supervisor, Ecosystem Manager) and can be integrated into ecosystems.
- Rejected: The deposit has not been validated by the Resource Owner or the Supervisor.
- Out of stock: the deposit has been used in one or more ecosystems and the available quantities have fallen to 0.
A deposit corresponds to a used material or product, which no longer has any use for its producer/owner, and which the latter wishes to recover.
Three types of information can be used to characterize a deposit on Upcyclea-Net 0 :
- The circular passport of the product or material (= identity card)
- Geographic location
- Additional information: quantity, availability date, condition, etc.
A deposit is entered by the agent. It is then validated by the resource owner.
It is possible to generate deposits by importing them from a spreadsheet. Importing deposits requires that the circular passports and sites have already been created beforehand.
To import deposits:
- Complete a spreadsheet with the information needed to generate deposits. The Passport ID , Site Name , Quantity , and Unit fields are required to complete the import. The Passport ID is a unique number that identifies a passport; it is this number that associates the passport with the deposit.
- Click on “Import deposits from a spreadsheet” in the agent role home interface.
- Fill in the information about the spreadsheet you wish to import in the dedicated window:
- The name of the spreadsheet tab to be imported. Please note that the spelling must be correct (including capital letters) for the name of the tab to be imported.
- The number of the first and last row of the spreadsheet to import.
- Then indicate the columns in your spreadsheet associated with the required fields (indicating for each required field the letter of the corresponding column in the spreadsheet).
- Click on “Import deposits”.
An error window may appear, which will indicate the rows in your table that generate errors (missing data, incorrect data). The deposit(s) will not be imported as long as there are still errors.
Once the import is completed, the names of the generated deposits will follow the following formalism: Name of the circular passport – Name of the site – ID of the passport.
It is possible to delete multiple deposits at the same time based on criteria you have defined using the search bar or available filters. In fact, it is possible to select deposits to delete based on the following criteria:
- Their name or the materials it is made of
- Their status (draft, published, awaiting validation, etc.)
- Their date of creation or availability
- Their site(s) and their associated tag(s).
Once the various criteria have been defined, you can delete the relevant deposits by clicking on “Delete search results”.
Note: It is not possible to delete a deposit if it is already involved in an ecosystem.
An Agent cannot modify a published passport. If they wish to make changes after the fact, they must contact their supervisor.
However, it is possible for the Agent to create a copy of one of his existing passports:
- by selecting the passport to be duplicated in the list of deposits
- by clicking on an existing passport in the drop-down list when the Agent creates a new deposit
Circular passport
When you enter the product name, you must first choose between two product types, each of which has 4 different fields:
– The catalog product corresponds to a product identified by a reference and resulting from a defined manufacturing process (e.g.: furniture, textiles, technical equipment). The name definition fields are then:
1. Generic name: The generic name corresponds to the description of the product (Polystyrene insulation for example)
2. English version of the generic name: you can click on the "Translate" button, the source language of the generic name is automatically detected and translated into English. This translation is editable and does not appear on your passport name in the bookstore.
3. Manufacturer's name
4. Trade name of the product (specific to each product and manufacturer – this can often be the name of the product range)
5. Product reference: specific reference, for a product with given dimensions, colors, characteristics
Example of catalog product:
– Other product includes all other products that cannot be characterized by a catalog reference (e.g.: concrete, compost, custom-made furniture). The name definition fields are then:
1. Generic Name: The generic name corresponds to the description of the product
2. English version of the generic name: you can click on the "Translate" button, the source language of the generic name is automatically detected and translated into English. This translation is editable and does not appear on your passport name in the bookstore.
3. Typology: allows you to provide details on the type of product considered (e.g.: Tufted carpet)
4. Format / dimensions

The generation of the circular passport name is carried out automatically according to the information entered in the 5 fields available in the dedicated generation window.
You may have noticed thanks to this toggle button , that passports can be filled out by choosing a long version, or a short version.
If you are a supervisor, you can easily choose either version. You can change your mind while drafting the circular passport by pressing the toggle button.
Keep in mind, however, that the information available in the long version will provide valuable insights for creating relevant statistics and reports. The fields relating to carbon footprint and conversion factor, for example, are valuable for providing data that allows the ecosystem manager to make the best choices.
If you are a manufacturer and you wish to have your product verified by Upcyclea, you must choose the long version and fill in the fields concerning materials, future uses, energy used, etc. If you do not wish to receive a rating from Upcyclea, you can choose the short version.
If you are a responsible person, you only have access to the short version of the passport. The other information can be completed by the supervisor at a later date.
If you're an agent, passports are only displayed in short form in the databases. However, you can view all the passports in the library, as well as your own in short or long form, from the "Circular Passports" tab.

If we declare the circular passport of a material, it is not necessary to declare any particular components, we use the general component already present by default " Set of materials not associated with a component " and we can then move on to the "materials" field.
For example, I am filling out a circular compost passport, I don't have a particular component. So I select the component " Set of materials not associated with a component ", and I move on to the choice of materials, by selecting "compost" in the nomenclature.
If we declare the circular passport of a product with several components, we can either:
- Do not use the “ Set of materials not associated with a component ” component already present by default (and therefore do not attach materials to this component),
In this case, we create the components of our product, and associate the corresponding materials with them. For example, in the case of a circular passport for a table, I enter the components "leg" and "top", and I associate each component with the material it is made of.
- Use the " Set of materials not associated with a component " component as an "other" component, attaching materials that do not relate to specific components.
Are you unaware of certain information about your product? About its possible future lives, or about its carbon impact?
You can leave some fields blank. If you have the information later, you can access and update the circular passport: the deposits and requirements that use it will also be updated automatically.
However, we recommend that you do not leave the "materials" field blank, since information about materials is important to help the algorithms. If you don't know the specific material, you don't have to scroll down the tree to the maximum to choose an item in the nomenclature: you can choose "wood," for example, without going all the way to the specific wood species.
The GTIN (or formerly EAN) is entered in the General Information tab of the circular passport. It is not mandatory.
The GTIN (Global Trade Item Number) is a unique code used to identify a product. It is the number found on barcodes. It allows you to specify a product's reference more precisely.
There are three families of Circular Passports: Manufacturer, Generic, and Local. You can filter passport families to display only those you want to view in the Upcyclea library or in your respective consultation areas from your Agent or Supervisor account.
MANUFACTURER circular passports are created directly by manufacturers. They feature a specific reference and are accessible to any user.
GENERIC circular passports are created by Upcyclea using generic data (sources: ADEME and DEMOCLES). They allow for the inventory of deposits for which manufacturer passports are not available. They are accessible to all users.
LOCAL circular passports can be created by any user with the Agent, Needs Manager, or Supervisor role. The quality of the information entered is the sole responsibility of the user. These passports are neither validated nor evaluated by Upcyclea. They are only visible on Upcyclea-Net 0 accounts. of the same entity.
A passport ID or identifier is a unique number that allows you to identify a passport. By clicking on the ID icon: , it is automatically copied to your clipboard. You can paste the passport ID into the passport library search bar to find a passport.
A passport ID allows you to generate and import material deposits using the Import function from the agent role.
The passport identifier (Id) is also visible in the circular passport at the name level.
A circular passport is used to characterize a product or material in order to know its composition and future uses: it's a real identity card!
Circular passports are then used to inform about used resource deposits, or resource needs.
The information entered in the circular passports is used in smart search functions, and will eventually serve as formatted data to insert artificial intelligence.
A circular passport can be created by:
- A supervisor
- A manufacturer
- An agent: in the “Circular Passports” tab (in short or long version) or when creating a deposit (only in short version)
- A requirements manager during the creation of a requirement (short version only).
However, the only ones who can manage local circular passports (modify, duplicate, delete them) are the agent and the supervisor.
Nomenclature
You can use the search bar at the top left, typing the name of the desired material.
If you've used the search bar and can't find the material, consider checking the spelling of what you're looking for, including spaces and accents ("cafe" is different from "coffee").
If you have checked the spelling but still cannot find the material, contact the administrator or supervisors of your Upcyclea-Net 0 , who can ask Upcyclea for an addition or a change in the nomenclature (see the following question “Who completes the nomenclature? Can it be modified?”).
The nomenclature of Upcyclea-Net 0 is “alive” and is enriched over time.
The Upcyclea-Net 0 team regularly updates it for all users, who share a single version of the nomenclature. It cannot therefore be edited directly by users. However, a supervisor or administrator can request changes to the nomenclature via this button:
Other users can send a request to Upcyclea about the nomenclature via chat:
Upcyclea will then consider your request. Please note, however, that the request must concern a material . Waste or finished products are not intended to be listed in the nomenclature, since they are categories or products and not materials.
The nomenclature groups together all the materials that can be used to complete circular passports (for products or materials). It serves as a common language for all users of the platform. In addition, its tree-like structure allows for great flexibility in the accuracy of the materials entered: the user can select "Plant material" as well as "Wood" or "Ebony."
This information will be the most used by the algorithms that will help users create a circular economy. Nomenclature is therefore at the heart of Upcyclea-Net 0 's technology. .
